Families share sensitive details with us—health concerns, financial considerations, family dynamics, and daily routines—because they trust us to guide them with compassion and discretion. This Data Retention & Information Security Policy explains what information we may collect, how we protect it, how long we keep it, and the choices you have. Our goal is simple: to make the search for care across Naples, Fort Myers, Marco Island, Bonita Springs, Estero, Sanibel, Captiva, and Fort Myers Beach feel safer, calmer, and more supported.

We use your information to provide placement guidance, make recommendations, coordinate tours or introductions, and follow up with you as you evaluate options. Because we are deeply connected with vetted communities throughout Southwest Florida, we may use relevant details to identify the best fits and to facilitate communication with communities or care providers at your request. We may also use limited information to improve our service quality, such as reviewing what types of options families commonly request in the Gulf Coast region. We do not sell your personal information.

When you ask us to connect you with an assisted living community, memory care neighborhood, or private-duty home care provider, we may share relevant details that help them understand your needs and respond appropriately. We share only what is needed for that purpose—for example, the general level of care required, desired location (Naples vs. Fort Myers, etc.), budget parameters, and timing. We aim to keep the process dignified and streamlined, especially for adult children coordinating care from out of state. If you prefer that we do not share certain details, tell us and we will respect your preferences whenever possible.

Protecting your information is a core part of protecting your peace of mind. We use reasonable administrative, technical, and physical safeguards designed to reduce the risk of unauthorized access, disclosure, alteration, or loss. Safeguards may include access limitations, secure devices and accounts, strong authentication practices where available, and careful handling of notes and records. We also limit access to personal information to those who need it to perform services. While no method of transmission or storage is 100% secure, we take information security seriously and continually apply practical safeguards consistent with the size and nature of our business.

Please be aware that standard email and text messaging may not be fully encrypted end-to-end. If you would like to share particularly sensitive details, you may request a phone call instead, or ask us to limit sensitive information in writing. We will work with you in a way that feels comfortable and respectful.
6. Data Retention: How Long We Keep Information
We retain personal information only as long as necessary for the purposes described in this policy, including providing services, maintaining appropriate records, resolving questions, and meeting legal or contractual requirements. In general, we keep information for as long as you are actively engaging us for placement support and for a reasonable period afterward in case you need continued guidance (for example, a change in care level, a move from assisted living to memory care, or a relocation within Southwest Florida). If you become inactive, we may retain basic records for a limited period for business continuity and compliance, then delete or de-identify information when it is no longer needed.
Because family circumstances can evolve over time, it is not uncommon for clients to return months later needing follow-up support. When possible, we retain only what helps us serve you better while minimizing unnecessary personal details. If you would like your information deleted sooner, you may request deletion as described below, and we will honor the request unless retention is required for legal, regulatory, or legitimate business purposes.
7. Data Minimization and Accuracy
We aim to keep our records relevant and accurate. You can help by telling us if your loved one’s care needs, budget, preferred location, or contact information changes. We will update our notes so recommendations remain appropriate and aligned with your family’s goals.

You may request access to the personal information we have about you, ask us to correct inaccurate information, or request deletion of certain information. We will respond within a reasonable timeframe and may need to verify your identity to protect your privacy. Deletion requests may be limited where we must retain information for legal reasons, dispute resolution, fraud prevention, or recordkeeping requirements. If we cannot delete specific data, we will explain why.
